This Privacy Policy explains how Quotely Lab Inc. (“Quotely,” “we,” “us,” or “our”) collects, uses, discloses, and processes information in connection with our websites, products, and services (collectively, the “Services”). Quotely Lab Inc. provides a B2B software platform, including an AI-powered booking and quoting agent.

1) Scope and Roles

This Policy applies when you:

  • Visit our website (including quoteperfectly.com),
  • Request a demo, create an account, or communicate with us,
  • Use our Services as an authorized user of a business customer, or
  • Interact with an AI booking/quoting experience powered by Quotely.

When we act as a “Processor / Service Provider”

When we process personal information on behalf of a business customer (e.g., a moving company using our platform), that customer controls the information and determines how it is used. In those situations, Quotely Lab Inc. typically acts as a processor/service provider, and our processing is governed by our agreement with that customer (and where applicable, a Data Processing Addendum).

If you are an end-customer of one of our business customers, please contact that business directly for questions about their privacy practices.

2) Information We Collect

The information we collect depends on how you interact with us.

A) Information you provide

We may collect:

  • Contact and account details: name, email, phone number, company name, role/title, login credentials.
  • Billing and transaction details: billing contact details and transaction records (payment card details are generally handled by payment processors).
  • Support and communications: messages, emails, chat transcripts, call notes, and information you choose to provide.

B) Information processed through the Services (including the AI booking agent)

Depending on configuration and use, we may process:

  • Customer/end-user details: name, phone number, email, move/delivery details, addresses, preferred dates/times, notes.
  • Media content: photos/videos uploaded or captured to support quoting and booking workflows.
  • AI outputs: inferred inventories, item/room summaries, suggested vehicle size, crew size, time estimates, pricing suggestions, booking details.
  • Workflow feedback: edits, confirmations, rejections, and corrections that improve quote accuracy and operational outcomes.

C) Information collected automatically

We may collect:

  • Device/network data: IP address, approximate location derived from IP, browser type, device identifiers, operating system.
  • Usage data: pages viewed, feature usage, clicks, timestamps, referring URLs.
  • Cookies and similar technologies: see Section 6.

D) Information from third parties

We may receive information from:

  • Business customers (e.g., employer-provisioned accounts),
  • Integrations enabled by you/your organization,
  • Service providers (security, analytics, payments, communications),
  • Public business sources where permitted by law.

3) How We Use Information

We use information to:

A) Provide and operate the Services

  • Create/administer accounts and permissions
  • Provide the AI booking/quoting agent and related workflows
  • Provide customer support and troubleshoot issues
  • Process payments and subscriptions (via payment providers)

B) Improve, maintain, and develop the Services

  • Monitor performance, reliability, and user experience
  • Debug, test, and enhance features
  • Build new functionality and automation

AI processing and improvement:
We may send certain inputs (e.g., text, photos, videos) to AI providers to generate outputs (e.g., inventories, quote recommendations). We may use aggregated and/or de-identified data to improve the Services. Whether Quotely uses customer content to improve models or AI performance beyond providing the Services may depend on your plan, configuration, and contractual terms.

C) Security and compliance

  • Protect accounts, systems, and users
  • Detect/prevent abuse, fraud, and unauthorized access
  • Enforce agreements and comply with legal obligations

D) Communications and marketing (B2B)

  • Send administrative messages (service updates, security notices)
  • Respond to demo requests and inquiries
  • Send marketing communications where permitted (you can opt out)

4) Legal Bases (Where Required)

Where required by applicable law (e.g., certain U.S. states, EEA/UK visitors), we process personal information based on:

  • Contract (to provide the Services),
  • Legitimate interests (security, improving the Services, B2B marketing),
  • Consent (where required, such as certain cookies/marketing),
  • Legal obligations.

5) How We Share Information

We may share information:

A) With business customers and authorized users

If you use the Services under an organization account, information may be visible to that organization’s admins and authorized users.

B) With service providers (Subprocessors)

We use third parties to help provide the Services (see Section 15). They may process information only to provide services to us under contract.

C) With integrations you enable

If you enable an integration, information may be shared with that third party consistent with integration settings and the third party’s privacy practices.

D) For legal, safety, and compliance

We may disclose information to comply with law, respond to lawful requests, protect rights and safety, investigate fraud, or enforce agreements.

E) Corporate transactions

Information may be shared in connection with a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets.

F) Aggregated or de-identified data

We may share aggregated or de-identified data that cannot reasonably be used to identify you.

We do not sell personal information for money. We do not share personal information for cross-context behavioral advertising without providing appropriate notice and choices where required by law.

6) Cookies, Analytics, and Similar Technologies

We use cookies and similar tools to:

  • Maintain sessions and authentication
  • Remember preferences
  • Support security and fraud prevention
  • Understand website usage and improve performance

Google Analytics 4 (GA4)

7) Payments

Payments may be processed through:

  • Stripe (card payments and related payment services),
  • QuickBooks (invoicing and potentially payment processing, depending on configuration),
  • Electronic transfer (e-Transfer) and other bank-based methods (where applicable).

Payment information you provide may be collected directly by these providers. We generally receive confirmations and transaction records necessary for accounting, reconciliation, and support.

8) Data Retention

We retain information as long as reasonably necessary to:

  • Provide the Services,
  • Meet legal, accounting, and contractual requirements,
  • Resolve disputes and enforce agreements.

Retention may vary depending on the type of data and whether we act as a controller or processor. Backups may retain data for a limited period after deletion.

9) Your Choices

  • Marketing emails: opt out via the unsubscribe link or by contacting us.
  • Account info: authorized users may update certain profile/account fields.
  • Cookies: manage via browser settings and any cookie tools we provide.

10) Your Privacy Rights (Canada + U.S.)

Canada

Depending on applicable law (including federal and provincial privacy laws), you may have rights to access and correct your personal information, and withdraw consent where processing is based on consent (subject to legal/contractual limits).

United States (state privacy laws)

Depending on your state and applicable law, you may have rights to:

  • Access/confirm processing
  • Correct
  • Delete
  • Obtain a copy (portability)
  • Opt out of certain processing (e.g., targeted advertising, and in some states, certain profiling)

If we process information for a business customer

If your information is processed on behalf of one of our business customers, that customer is typically responsible for responding to your request. We will support our customers as required by contract and applicable law.

11) International Data Transfers

We may process and store information in Canada, the United States, and other locations where we or our service providers operate (for example, cloud infrastructure regions). Where required, we use appropriate safeguards for cross-border transfers.

12) Security

We use administrative, technical, and organizational safeguards designed to protect information. No system is perfectly secure, and we cannot guarantee absolute security.

13) Children’s Privacy

Our Services are not directed to children, and we do not knowingly collect personal information from children.

14) Changes to This Policy

We may update this Policy from time to time. We will post the updated version and revise the “Last Updated” date. If changes are material, we will provide additional notice where required.

15) Subprocessors and Service Providers

We use the following categories of service providers, which may process personal information to provide services to Quotely:

  • Cloud hosting and infrastructure: Microsoft Azure
  • Payments and billing: Stripe; QuickBooks (and related Intuit services, depending on configuration); banking partners for e-Transfer and other bank-based methods
  • Analytics: Google Analytics 4
  • Sales/marketing and communications: HubSpot; Mailchimp
  • AI processing providers: OpenAI (ChatGPT/API services); Google (Gemini)

We may update this list from time to time as our Services evolve.

U.S. State Privacy Notice (Addendum)

This addendum supplements the Privacy Policy for residents of certain U.S. states with comprehensive privacy laws (which may include California, Colorado, Connecticut, Utah, Virginia, and others). It applies to personal information we collect when we act as a controller/business for website visitors and prospective customers. It does not replace our obligations when acting as a processor/service provider for business customers.

A) Categories of personal information collected

  • Identifiers: name, email, phone number, IP address
  • Commercial information: subscription and billing-related records
  • Internet/network activity: device info, logs, website interactions
  • Professional information: job title, company, business contact details
  • User content: info submitted through forms, demos, support, or communications

Sensitive data: We do not intentionally collect sensitive personal information for uses defined as “sensitive” under certain U.S. state laws. If sensitive information is submitted in free-form fields, it is processed only to provide the Services, maintain security, and comply with law.

C) Disclosures

We do not sell personal information for money.
If we use cookies or similar technologies that are considered “sharing” for targeted advertising under some laws, we will provide appropriate notice and opt-out mechanisms as required.

E) Exercising rights

Where required, if we deny your request, you may appeal by replying to our response and stating you want to appeal.
